Air India check in: online does not give you a boarding pass on international flights

Checking in online with Air India does not do what it does with almost every other airline. On an international flight — which, from a UK airport, means your flight — the online process produces a confirmation slip rather than a boarding pass, and you still have to queue at a dedicated desk to exchange it once your documents have been checked. The window opens 48 hours before departure, and at London Heathrow the desks shut 75 minutes before the flight, not the usual 60.

The confirmation slip: why online check-in does not end at home

This is the single most important thing to understand about Air India, and it is the opposite of what the phrase « online check-in » normally promises.

On international flights, the online process does not issue a boarding pass. What you receive is a confirmation slip. You take that slip to a dedicated desk at the airport, your travel documents are checked there, and only then is the boarding pass handed over, along with the tags for any hold luggage.

On Indian domestic flights the rule is the ordinary one. The boarding pass prints at home or comes out of a self-service kiosk, and those kiosks exist for the domestic network only.

Checking in through the app changes nothing about the collection. The app covers both networks, but the pass is still picked up at a desk.

So what does online check-in actually buy you here? Two things, and they are worth having: your presence is registered, and the document check has a queue of its own rather than sitting behind the general check-in queue. What it does not buy you is the walk straight to security that you get with a European short-haul carrier.

Air India is not alone in this — the same arrangement runs at Royal Air Maroc, Tunisair, Air Algérie and Nouvelair. What the pattern really tracks is not a country but a border: it appears where a documentary check has to happen before boarding, and Air India applies it on the international network while leaving the domestic one alone.

A note for connecting passengers. If your journey starts in the UK and continues beyond India, the desk visit happens on the international leg where it is required, and the airline's own network is where the slip is exchanged. Plan the first departure around it rather than the whole itinerary.

Opening, closing, and the Heathrow exception

The window opens 48 hours before departure. That is generous by the standards of this comparison, and it matters more than usual here, because the slip you obtain is only the first half of the process.

Online check-in closes 2 hours before an international departure, and 1 hour before an Indian domestic one. From a UK airport the first figure is the one that applies to you.

Airport desks close 60 minutes before departure on both networks — with one exception that concerns UK travellers directly. At London Heathrow and at Delhi, desks close 75 minutes before an international flight. Those are the two airports the airline names, and Heathrow is its European gateway, so the exception is the rule for most readers of this page.

Boarding gates shut 20 minutes before departure. With a document check standing between the desk and security, the gap between 75 minutes and 20 minutes is narrower in practice than it looks on paper.

A practical way to plan it. Work backwards from the desk rather than from the gate: at Heathrow the last useful moment is 75 minutes before departure, and that is when the slip must already have become a boarding pass, not when you join the queue.

One more reason to treat the desk deadline as the real one. The confirmation slip has no expiry of its own: it is worth exactly as much at three in the morning as at the last minute, and worth nothing once the desk has closed. Nothing about holding it early protects you from arriving late.

Code-share flights are excluded, online and in the app

If your ticket carries an Air India number but another airline operates the flight, online check-in is not available. Neither the website nor the app will take it.

That exclusion is unusually broad for a Star Alliance member, and the airline states it plainly rather than leaving passengers to discover it. It is worth checking on the booking confirmation before you plan your morning around a slip you will not be able to obtain.

The app is the less complete channel of the two, which is the reverse of most airlines: it covers both networks for ordinary flights, but code-share bookings fall outside it just as they fall outside the website.

What to do instead. Check in with the airline that actually operates the flight, or present yourself at the desk within the airport deadline. Neither route carries a published charge: Air India names no airport check-in fee and no late check-in penalty. What it does publish for the deadline itself is refusal of acceptance beyond it — the cost of being late is the flight, not a fee.

How Air India check-in works, step by step

Six steps on an international flight, and the last two are the ones people forget.

  1. Wait until 48 hours before departure, then open the website or the app.
  2. Confirm the flight is operated by Air India itself. A code-share booking will not proceed.
  3. Enter the booking reference and surname, or sign in if the trip is attached to your account.
  4. Complete the process and keep the confirmation slip, printed or on the phone.
  5. Go to the dedicated desk at the airport to have your documents checked and the boarding pass issued.
  6. Hand over hold luggage at the same point, before the desk deadline for your airport.

On an Indian domestic flight, steps 5 and 6 collapse: the boarding pass comes straight from your printer or a kiosk, and you only see a desk if you have a bag to drop.

Boarding pass formats, and why the app is not required

No app is imposed. Air India offers home printing and airport kiosks at the same level as the app, so a traveller without a smartphone is not disadvantaged.

The kiosks serve the domestic network only. From a UK airport they are not part of your route, which is another reason the desk remains unavoidable on the way out.

Print the slip if your phone is unreliable. Because the slip has to be presented and exchanged rather than scanned at a gate, a paper copy removes a dependency at exactly the moment a queue is moving.

For the contrast on the same routes out of the UK, where online check-in genuinely ends at home, see our pages on British Airways check-in and easyJet check-in. Neither sends you to a counter to convert a document into a boarding pass.

If you miss the online window

Missing it is not the problem it would be elsewhere, precisely because the desk was always part of the route on an international flight. You lose the shorter document-check queue, not the flight.

The deadline that matters is the desk one: 60 minutes before departure, and 75 minutes at Heathrow and Delhi on international flights.

Nothing is published about the cost, and that is not the same as nothing happening. Air India names no airport check-in fee and no late check-in penalty, so we put no figure here; amounts quoted elsewhere do not come from the airline. The published consequence of passing the deadline is refusal of acceptance — a passenger who misses it loses the flight rather than paying for it.

With luggage, work with less margin than you think. Bags are taken at the same desk and against the same clock, and holding a confirmation slip does not reserve your place in that queue.

Whether online check-in ends at home or at a counter varies by carrier; our online check-in guide says which does what.

And if the flight is domestic within India. The online pass is a real pass, so a missed window costs you only the kiosk or the desk, both of which close on the ordinary sixty-minute clock.

Frequently asked questions

How early can I check in with Air India?

The window opens 48 hours before departure on both the international and the domestic network. Online check-in then shuts two hours ahead of an international flight and one hour ahead of an Indian domestic one. From a UK airport the first figure applies, and the airport desks stay open longer than the online window does.

Does Air India online check-in give you a boarding pass?

Not on international flights. The online process issues a confirmation slip, which you exchange for a boarding pass at a dedicated airport desk after your travel documents have been checked. On Indian domestic flights the boarding pass is issued directly and can be printed at home or collected from a self-service kiosk.

What time do Air India desks close?

Sixty minutes before departure on both networks, with one exception that matters to UK travellers: at London Heathrow and at Delhi the desks close 75 minutes before an international flight. Boarding gates shut 20 minutes before departure, and the document check sits between the two.

Why can't I check in online for my Air India flight?

The most likely reason is that the flight is a code-share operated by another airline. Air India excludes those bookings from online check-in and from the app alike, and states it plainly. Check the operating carrier on your confirmation, then check in with that airline or use the airport desk instead.

Do I need the Air India app to check in?

No. Home printing and airport kiosks are offered at the same level as the app, and the app is in fact the less complete channel because code-share bookings fall outside it too. Note that the self-service kiosks serve the Indian domestic network only, so they are not available on a departure from the UK.

Is there a fee for checking in at the airport with Air India?

None is published, and that is not the reassurance it looks like. Air India names no airport check-in fee and no late check-in penalty on the pages we follow, so we quote no amount — but what it does publish beyond the deadline is refusal of acceptance. The price of being late is the flight itself.

Can I go straight to security after checking in online?

On an international departure, no. You have to visit the dedicated desk first, have your documents checked and collect the boarding pass, and hand over any hold luggage at the same point. On an Indian domestic flight you can go straight through if you are travelling with cabin baggage only.

How much does seat selection cost on Air India?

We put no figure here: the seat pages have not been read, and amounts quoted elsewhere do not come from the airline. What is worth knowing is the sequence: the seat is settled well before the airport, whereas the boarding pass on an international flight is not settled until you reach the desk, however early you completed the online step.
